Formatting Guidelines

For APA form and style issues not covered here, refer to your APA Manual, or Purdue Writing Lab

  • Font size: 12 point, Times New Roman
  • Margins: 1”
  • Justification for manuscript text (not headings, which are APA 7): Left: Justified; Right: Ragged
  • Page numbers
  • Preliminary pages
  • Title page is counted (understood as "i") but not numbered
  • Starting with the copyright page ("ii"), set the page numbers in lowercase Roman numberals; centered in the footer, 1" from bottom of the page

  • Beginning with first page of Chapter 1
    • Set page numbers in Arabic, centered in the footer, 1” from bottom of the page 
    • Page numbers start on the first page of Chapter 1 (1) and appear on all pages of the chapters, references, and appendices
  • Spacing (lines)
    • Double space all pages, including the abstract, except for the following, which should be single-spaced: 
      • Headings, subheadings, table of contents entries, and table or figure captions exceeding one line in length
      • Table of contents entries exceeding one line in length (double-space between entries)
      • Long (40 words or more) block-indented quotes or narrative 
      • List entries (double space between numbers) 
      • Reference Section: Individual entries of more than one line in the reference section (i.e., individual reference entries are single-spaced, but double-space between each separate reference) 
      • Table titles, table column and row headings, table text (double-space between rows), table notes 
      • Lengthy material (exceeding two pages) that appear in tables or appendices
  • Spacing (sentences): Single-space after all punctuation except internal periods in abbreviations (e.g., i.e., U.S.)
  • Spacing (tables/figures): Add an extra space above and below a table or figure to separate it from paragraphs or other tables/figures on the page
  • Spacing (paragraphs): Each paragraph should be indented one-half inch using the tab key with no extra spaces between paragraphs
  • Headings 
    • Headings should conform to the style described in the APA Manual 7
      • Chapter headings are Level 1: Centered, Boldface, Capitalizing the first letter of each non-trivial word (see your programs template for the appropriate naming of each chapter) 
      • Subsequent headers in each chapter should follow APA style requirements for subsequent levels of headings/subheadings, with the first heading in a chapter being a Level 1 heading
  • The first heading used should be a Level 1 heading: Centered, Boldface, Capitalizing the first letter of each non-trivial word
  • A second-level heading is formatted the same as a first-level heading, except it is positioned flush left
  • Third level heading is formatted the same as a first-level heading, except it is positioned flush left and italicized (do not include this level in your TOC)
  • Fourth level heading is formatted the same as a first-level heading, except it is indented and ends with a period. Start the first sentence of the section on the same line (do not include this level in your TOC)
  • Capitalization within the text
  • Do not capitalize job titles unless they immediately precede a person’s name: The vice president of the United States but Vice President Theodore Roosevelt
  • Except for personal names, do not capitalize the names of theories, hypotheses, or statistical procedures, or diseases, disorders, therapies, or treatments (e.g., theory of learned behavior, multiple sclerosis, Maslow’s hierarchy, Asperger’s syndrome)
  • Quotations
  • For in-paragraph quotations, set the final punctuation mark(s) after the citation “as a result of  overharvesting in the tune industry” (Fishmore, 2016, p. 45).
  • Block quotations
  • Set quotations of 40 or more words in block form (spaced .5 inches from left margin)
  • Block quotes is double spaced
  • Set the final punctuation at the end of the quotation, before the citation (see template for an example)
  • Another option is to include the author and year in the narrative before the quotation; in this case, include only the page number in parentheses after the final punctuation for the quotation
  • Figures and Tables
  • Tables or figure should only be included when they provide a clearer way to present data or information
  • Do not include the same information in your text and in a table/figure
  • Tables and figures must fit within the margins
  • Tables and figures must be readable (avoid copying and pasting from another source)
  • Figures should be black, white, or greyscale. If the use of color would improve their readability, it may be used, however, see APA guidelines for the appropriate use of color that accounts for people who may be reading your document with color-vision deficiency.
  • Numeric information is in the simplest form possible - if values are rounded, two decimal places preferred (and do not exceed three) and the number of decimal places must be consistently used throughout the manuscript
  • Permission must be obtained to reprint information that is not in the public domain (letters of permission are included in an Appendix, as appropriate)


  • Citations
  • When citing two authors in a parenthetical citation, include “&” in between the author names, however in the running text, use “and.”
  • When citing more than two authors, include the first author’s name followed by “et al.” in parenthetical and narrative citations
    • Example: Other authors (Smith & Wold, 2012; Marshall et al., 2015) agreed, but Matthey and Chermack (2015) found otherwise. 
  • When citing the same references within a paragraph, cite only the name(s) the second time.
